Our Letting Services:
Let Only
Arranging advertisement in the appropriate media as necessary to include local press, daft.ie, myhome2let.ie, spm.ie and placing property on our regularly updated Letting List.
Personal interview.
Accompanied inspection of the accommodation.
Securing Bank, Employment and Previous Landlord references where possible from the tenants.
All our leases are Law Society Approved and can be amended at the landlords request or special conditions can be inserted if deemed necessary by the landlord.
Preparation of inventory of contents for inclusion in Tenancy Agreement.
Transferring all utilities into the tenant's name (where possible).
Compiling all details relevant to registration with Private Residential Tenancies Board (PRTB). We can submit the registration form to the PRTB at the request of the landlord. (No Additional charge)
Negotiation of Tenancy terms i.e. rent, additional items, continuation options etc.
To set up standing order mandate for all future rent payments.
Full Management Service
All of Let Service plus: Rent collection / rent demands were appropriate
Quarterly inspections – Condition reports to confirm that the tenants are complying with all terms of the tenancy agreement.
We would act as the sole contact for the tenant for any issues, maintenance or otherwise that may arise throughout the tenancy and liaise directly with the landlord in respect of such issues when necessary. It will be the landlord's responsibility to deal with maintenance issues, recommendations can be made but the responsibility will remain with the landlord.
Arranging repairs and overseeing improvements to the property if necessary and approved.
PRTB mediation and dispute resolution if or when they occur. We will act on behalf of the landlord at all meetings, discussions & arbitrations when it comes to PRTB issues. Keeping the landlord informed step by step
Arranging cleaning and maintenance services if necessary. We would advise our clients that they allow SPM €250.00 maintenance budget to prevent constant contact for minor issues.
Arranging insurance cover for the property if necessary and negotiating insurance claims should they occur.
Dealing with correspondence in relation to the property and the tenant, i.e. waste charges, utility arrears etc
Dealing with all contractors in relation to maintenance of equipment in the property.
Preparation of monthly statements of accounts and issuing cheque/transfer to client or nominated financial institution.
2 4Hr emergency service – we have an electrician and plumber on call 24/7 365 days a year for any issue that may arise in your property out of office hours, weekends & holidays.
Caretaking Service
If your property is unoccupied we can visit it regularly to comply with your insurance needs
Arrange maintenance on your behalf
Provide a bespoke service as required by you.
Private Client Portfolio Management:
SPM can provide client portfolio management for those companies/individuals with a number of units in their property portfolio. Our aim is to secure complete occupancy of a portfolio at all times while maximizing rental potential and securing the right quality tenants. A portfolio can consist of three or more units to include Pre 63 multi units.

What Smith Property Can Do For You:
Visit you at your property and advise on rental value, legal requirements and how to prepare the property for let
Market the property on our website and on all other major letting websites
Viewings accompanied by a member of SPM staff
Reference check the tenants and report to you
Prepare a detailed inventory and schedule of condition including photographs
Prepare an appropriate law society tenancy agreement for signature
Transfer of utilities from Landlord to tenant
Obtain a deposit from the tenants
Arrange for the tenant to pay the rent monthly by standing order
Visit the property quarterly to check it is being looked after by the tenants and are adhering to the tenancy agreement
Arrange for repairs/ maintenance work on your behalf as instructed by you
At the end of the tenancy check the property and establish any dilapidations which may be paid from the tenants deposit
Prepare PRTB registration form on behalf of Landlord and submit on their behalf if required
Full and comprehensive inventory list completed prior to tenancy agreement.
Act on behalf of the landlord pertaining to any PRTB issues that may arise, if required
BER certificate from an independent source can be arranged
Provide 24 hour emergency service for properties managed
Provide mortgage/private valuations
Offer full and comprehensive sales service at competitive rates
Preparing your property to Let:
Always present your property in the best possible condition. The more attractive your property, the greater your chances are of finding a tenant and keeping your property occupied throughout the year. Good quality properties always rent quickly. When properties are obviously looked after and presented in the best possible condition, tenants are more likely to treat the property as if it were their own. If you don't appear to look after your property, the tenant will do the same! Also don't overlook the furnishings – make sure these reflect the quality of the property, and the type of tenant you want to attract. Properties can be let down by the condition of their furnishings.
Also, the better the quality of furnishings the less maintenance and repair will be needed by you.
To prepare your property to Let you should:
Décor – Decorate in neutral colours and finish to a good standard
Furniture – If you let your property furnished then only leave the essential items (ensuring they comply with fire regulations) and nothing personal. Supply good quality, modern items, don't be tempted to use old-fashioned pieces It is not necessary to leave linen. Supply a good range of white goods as this will make the property more attractive to potential tenants. In an unfurnished property it is normally expected that carpets, curtains, light fittings are left.
Professional Clean - Have the property professionally cleaned – this will help ensure that the tenants will do the same on leaving. We can arrange this for you.
Gas Appliances – Must all be serviced and checked annually by a certified gas installer
Oil/Solid Fuel – Where relevant the tank should be left full at the start of the tenancy and the tenant will then fill the tank before vacating. The same applies to solid fuel.
Smoke Detectors – Must be installed and checked prior to a property being let
Keys – 3 sets of front door keys should be provided to the agent (two for the tenants, one as a management set for the agent) Other keys should be left in the property (in a kitchen drawer)
Instructions – Instructions for household equipment, central heating and other useful information should be left in a file at the property. Copies of all guarantees should be left with the agent.
Mail – You should make arrangement for your post to be forwarded to you
Garden – Should be handed over in good seasonal order and tenants will be expected to leave the same at the tenancy termination
Mortgage – You will need to inform your lender that you intend to let your property
Insurance – Tell your insurance company that you are going to let your property. Ensure you have adequate buildings and contents cover
Put yourself in the tenant's shoes – would you walk through the door and want to live in this property – does it have the edge over other properties that the tenant might be viewing?
Remember, this is a long term investment and you need to maximise the benefits, thereby ensuring the tenant would like to stay as long as possible; new tenants cost money!
Once Rented:
Inspections
Our management service includes inspections of the property at least four times a year during the tenancy. This is a general review and not an ‘item by item' check, however it does provide us with an opportunity to assess the general condition of the property and highlight any maintenance issues that may need to be brought to your attention. It also gives us the chance to ensure that the tenant is maintaining the property to a satisfactory standard.
Review And Renewal
Approximately two months prior to the end of the tenancy we will write to the Tenant, to enquire as to whether they would like to renew the tenancy.
At this point, we can agree any revision to the rent before extending the tenancy. If the Tenant plans to move out we will contact the Landlord to confirm that the property can be re-marketed.
